The software we use, once the manual version stops working

Every story on this site ends with the same question: how do you run this without remembering to? Our answer is one platform, because it holds the phone number, the contact, the calendar, the messages and the reviews in the same account. This page explains what it does, what it costs and where it stops.

Why one account instead of five

The alternative to a platform is a stack: a CRM, a phone system, a scheduler, a review tool and a payment link, each with its own login and its own copy of the customer. Every extra tool is a place where a lead can fall between two systems, and the failure is usually silent. The customer does not complain. They just book with someone else.

GoHighLevel is the platform we use because it collapses that stack into one contact record. A missed call, the text that follows it, the reply, the appointment and the invoice all attach to the same person. It is not the only option, and it is more software than a business with ten leads a month needs.

The honest test

If you have ever lost a job because nobody called back the same day, a system like this solves a real problem. If your problem is that you do not have enough leads, this is not the fix. Buy marketing instead.

What it does

Six jobs from the stories

Each one maps to a section of a story we have published.

System

CRM and pipelines

Every lead, quote and job in one pipeline with stages, owners and reminders. Follow-up stops living in someone's head.

CRM and pipelines
System

Missed-call text back

A workflow fires on a missed call and texts the caller within seconds, so the job stays with you instead of going to the next number.

System

Calendars and reminders

Booking links, confirmations, reminders and two-way rescheduling, so the schedule fills itself without phone tag.

System

Reputation and reviews

One neutral review request after the job, sent to every customer, with the replies routed somewhere a human reads.

System

Funnels and forms

Landing pages, forms and surveys that write straight into the CRM. No plugins, no broken webhook between two systems.

Payments and invoicing

Estimates, invoices and payment links inside the same account, so the money side stops living in a separate tool.

The 14 days

How to test it without wasting the trial

  1. Days 1 and 2: account and number.

Name the sub-account, set the time zone and business hours, then buy or forward a local number. Nothing else matters until the phone is real.

  2. Days 3 and 4: missed-call text back.

One workflow: trigger on a missed call, wait 30 seconds, send the SMS, create the opportunity. Call it from a phone that is not in your contacts.

  3. Days 5 and 6: pipeline.

Recreate the three or four stages your jobs actually move through, then import your current customers as a CSV.

  4. Days 7 to 10: calendar, reminders and review request.

The three workflows that fill the schedule and protect the reputation.

  5. Days 11 to 14: stop building.

Let it run on real calls and read the numbers: reply rate, booked rate, time to first reply. Decide with that.

Before you send a single text

U.S. SMS requires A2P 10DLC brand and campaign registration. Without it, messages get filtered and you will spend the trial debugging carriers instead of software.

Questions

Toolkit questions

Is this an official GoHighLevel site?

No. We are an independent publication, not affiliated with HighLevel, Inc. They do not review or approve our stories, and a commission does not buy a positive mention.

Do you make money if I sign up?

Yes, and the site says so on every page that links to them. The price you pay is the same, and the disclosure page explains exactly how it works.

What if I do not want to use software?

Then do not. Half of every story is the manual version, and for plenty of businesses that is enough. The system only earns its place when the manual version is being skipped.

Can I run this without an agency?

Yes. A basic text-back workflow takes an afternoon, and there are agencies that will configure it once for a flat fee if you would rather not learn the interface.

What happens if I cancel?

You can export your contacts and your account belongs to you. Read the current retention terms before you build years of history inside any platform.

If you would rather not build it

Start with the cheapest win

The 14-day trial is enough to build one workflow and run it on real calls. If it does not pay for itself, cancel and keep the data.
